DSA PTSA EXECUTIVE BOARD MEETING

In Attendance   Lyleen Collins, Lori Schwarze, Trudy Wensell, Shirley Violand-Jones, Jill Lowery, Luann Pollock, David Hawks, Deborah Iden, Kateri Hoekstra, Earle Manhertz, Jacqueline Bryant

 

Call to Order  President Lyleen Collins called the meeting to order at 5:35 pm. 

 

Review of Minutes   Minutes of the August 11, 2008 PTSA meeting were reviewed.  Deborah Iden made a motion to approve the minutes, seconded by Luann Pollock, and the motion carried unanimously.

 

Principal’s Report   Mr. David Hawks reported that the DSA school year is off to a great start with 1461 students enrolled.  Two additional teaching positions were added due to increased enrollment.  DSA is offering five more AP classes than last year (World Studies, Music Theory, English III, Physics and Biology).  Maintenance has done very well in improving the look of the campus.  Very talented teachers have joined the staff this year.

 

Treasurer’s Report   Shirley Violand-Jones circulated the bank statement for review and initialing by PTSA Board Members.  The fiscal year ended July 1.  The audit has been completed.  A financial statement (990 EZ for nonprofits) filed with the IRS is available for review through the IRS website.  The 2008-2009 budget proposal was reviewed.  Adjustments from the budget proposal presented at the August meeting reflect changes to comply with recommendations from the state PTA for maintaining PTA budgets.  The DSA PTSA needs to have an official returned check charge.  Effective August 1, BB&T will charge $8 per returned check.   Luann Pollack made a motion to approve a returned check fee for $25, seconded by Earle Manhertz; the motion carried unanimously.  Officer’s liability and bond has been purchased in past years; general liability insurance costs $125 and was not purchased last year because we did not hold a fundraiser party for middle school students.  Deborah Iden made a motion to purchase officer’s liability, bond and general liability insurance, seconded by Lori Schwarze; the motion carried unanimously.  The budget proposal will be adjusted to reflect this expense.

 

Staff Appreciation Report  Teresa McBennett submitted the following written report:

On August 18, 2008 at 8:15 am a breakfast was provided for the DSA staff.  Staff were served fruit, croissants, meats and cheeses, danishes, yogurt, fake mimosas, coffee and water.

 

Small Fundraisers     Lyleen Collins reported that Kroger will no longer be administering the Plus Card for Education, so this information will be removed from our website.  Lyleen is preparing to submit a large order to Xpress Image; sales at Open House were good.

 

Board Vacancies    Chairs for Membership, School Beautification, Hospitality, Student Liaison and Teacher Liaison remain vacant.

 

Website    We are still waiting for information from the Booster Club; Shirley will contact Booster club leaders to get information.

 

Site Based School Improvement Team    Earle Manhertz reported that the Site Based School Improvement Team will meet for the first time on September 17, 2008.

 

Book Fair   Trudy Wensell reported that the Scholastic Book Fair is October 6-10, with family night on Wednesday, October 8 until 7 pm.

 

Reflections Program    Jeff Goll will coordinate the Reflections Program this year, a juried arts contest for students.  Durham County winners will proceed to district and then state levels.

 

PTSA General Meetings    The first PTSA General Meeting of the year will be held on September 23, 2008.  At this meeting Site Based elections, if needed, will be held, and representatives from DSA clubs will be available to provide information to students and parents.  The meeting will be advertised as a way for parents and students to find out to become more involved in DSA.

 

Media Center/Technology Information Night for Parents   In October or November, Cricket cell phone company will present “Teaching Texting 101” at the second PTSA General Meeting.  At the same meeting, Ms. Larson will provide information about technology and other resources available to students through the Media Center.

 

Fundraiser    Lori Schwarze reported that letters will be sent next week to DSA families to request donations to fund PTSA-sponsored activities.  The plaque for the $100 donations during DSA’s centennial year (2007-2008) will be ready next week.

 

New Business  

-         Lyleen Collins reported that scholarship information received by the PTSA has been forwarded to the Guidance Office, and PTA grant information has been forwarded to all the teachers.  

-         Deborah Iden noted congratulations to the school for having translators at the Open House and the contract that is now available to provide translators when needed.  

-         A work session will immediately follow this meeting to put labels on envelopes for the fall donation fundraiser.

 

 

The meeting was adjourned by President Collins at 6:25 pm.

 

The next meeting is scheduled for Wednesday, October 8, 2008 at 5:30 pm in the Community Lounge.
